Welcome to another issue of 'Spreadsheet Tips From An Excel Addict. I hope things are well with you and your family. Here in Newfoundland, Canada, in the past two weeks, we have had 20°C spring weather and a major (30cm.) snow storm. The snow quickly melted and now we are back to normal - if there is such a thing.

I hope you will enjoy the time-saving tips I have for you this week. These are ones that I use regularly and I hope that, once you learn them, you will make them a regular part of your Excel work.

As I am writing this newsletter, I just received an email from a subscriber in Australia telling how much time my tips has saved him. That's what makes sharing these tips so satisfying for me. That's why I want to share these tips with as many Excel users around the world as possible.

EXCEL "QUICK TIP" Top
Zipping Through Your Sheet Tabs

Here's a little trick I always use that may look a little strange at first, but it 'Works for me.'

You've heard me before recommending that you learn both a 'mouse method' and a 'keyboard method' for doing things in Excel. Well, here's another one to add to your bag of tricks.

You probably know that when you have a lot of sheets in your workbook, you can use the sheet tab scrolling buttons on the bottom left of the Excel window to navigate among your workbooks. I use that method too when I am in 'mouse mode.' But anytime you have both hands on the keyboard and you need to move quickly from one worksheet to another, here's what you can do.

When you've got a workbook that has a lot of sheets (i.e. more than ten) and you need to move between sheets on opposite ends of the scroll tabs, hold down the CTRL key and press and hold the Page Up (scroll left) or Page Down (scroll right) button. You will quickly scroll through the sheet tabs and get to the opposite end in a second or two.

When you 'turbo-scroll' like this through a workbook containing 30 or 40 sheets, it may look a little funny but, hey, it works.

Extracting Unique Items From Data In A Column

Anytime you have a column of data that contains duplicate items and you need just a list of the unique items in that column, Excel has an option that allows you to easily do this, but few Excel users know about it.

Say for example that you have a list of hundreds, maybe even thousands of names and many of these names are in the list multiple times. You need to pull out a list of names with no duplicates. I've seen Excel users first sort the list to make it easier to manually copy the individual names. But this is still very inefficient and time consuming.

Excel's time-saving option for this task is called Advanced Filter and here's how it works.

  1. Select the list of data to be filtered (only one column wide). If your list doesn't have a heading, add one, or include the blank cell immediately above the list in your selection.
  2. From the Data menu, select Filter, then Advanced Filter.
  3. In the Advanced Filter dialog box, ensure that the 'List Range' is actually the cells you have selected. Often Excel will select, by default, the entire range of columns and rows surrounding your selection. To be sure, you can select your list again while the 'List Range' box is selected.
  4. Click to select the 'Unique Records Only' option.
  5. You can choose to 'Filter List In Place', or you can choose 'Copy to another location' and select a cell on the current sheet where you would like the unique items to be copied, leaving the original list untouched.
Of the Excel users who have discovered and use Advanced Filter, many are often frustrated that Excel, it appears, doesn't allow them to select a different sheet in which to paste the unique filtered records.

Here's a secret that I use to get around that problem.

  1. First select the sheet and cell where you want your extracted records to be copied.
  2. Select the Advanced Filter option.
  3. Click the sheet tab containing the list.
  4. Select the other options as explained above.

BONUS "NON-EXCEL" TIP Top
Using Bcc To Keep Forwarded Email Addresses Safe

How often do you receive emails, such as jokes, that have dozens or even hundreds of email address listed of others who were also forwarded the same message?

Often you will like the joke and decide to send it to all of your friends and family. Many of them will do the same. Now your email address (and everyone else's) has been broadcasted all over cyberspace. Did you ever consider that these emails may sometimes end up in the Inbox of a spammer? Not only will the spammer put all these addresses in his database for sending junk mail, he will likely sell his list to other spammers. The result is everyone begins receiving hundreds of unwanted junk emails.

Instead, if you want to forward the message to others, (1) add the names to the BCC field and (2) delete any email address in the body of the email.

Many email programs, by default, don't show the BCC field. For example, in Outlook Express you need to select View, All Headers from a new message window. If you use a different email program you may have to check its Help menu.
