Hi Fellow Excel Addict,

We are at the peak of our summer here in Canada and half way through my vacation, I'm really enjoying it. I hope you are also having a fantastic week wherever you are.

As I promised, my tips will keep coming with no interruption. I hope you will find something here this week to help make your work in Excel easier, faster, more enjoyable or maybe all three.

Until next week ...

Keep on Excelling,
Francis J Hayes (The Excel Addict)

P.S. VERY IMPORTANT Please remember to include "TheExcelAddict" in the Subject line of any email you send me. This will help it stand out in the flood of junk email I have been receiving lately.

EXCEL "QUICK TIP" Top
Extract The Year, Month, or Day From A Date

Do you use lots of dates in Excel? If you do you probably have needed to use the year, month or day referred to in a date cell in a separate cell. The solution is simple.

Lets say that cell A1 contains the date July 21, 2004 (entered as 21/7/2004 or 7/21/2004 depending on your date system). You want to extract the year (i.e. 2004) from that date and put it in cell C1. Simply enter the formula =YEAR(A1) in cell C1. Same thing for month and day. Use =MONTH(A1) or =DAY(A1).

Pasting Part Of Your Worksheet To Another Document

If you ever need to include a small part of your worksheet in an email, a Word document, or a PowerPoint presentation, a simple solution is to paste it as a picture.

  1. Select the cells you want to copy.
  2. Hold down the SHIFT key and select Edit, 'Copy Picture'. (Note, the Copy Picture menu item is only available if you hold down the SHIFT key).
  3. In the Copy Picture dialog box select either 'As shown on screen' or 'As shown when printed'. Try each of these to see which you prefer. If you choose 'As shown on screen', the gridlines will be shown in the picture if they are visible in your worksheet. If you choose 'As shown when printed' the gridlines will not be visible in the picture.
  4. For the Format option choose Picture.
  5. Click OK
  6. Switch to the document where you want to paste the picture.
  7. Press CTRL+V (i.e. keyboard shortcut for Paste) or choose the Paste option from the menu or toolbar for that program.

Not Sure If You Should Open That Email?

Do you get lots of spam and junk email? Not sure if its safe to open them? Most junk email is obvious and can be safely deleted, but there are always a few that you're not quite sure of.

Here's a low-tech solution that I use with Outlook Express to see what's in an email without actually opening it.

  1. From your Inbox, right click on the message and choose Properties.
  2. Click on the Details tab.
  3. Click the Message Source button on the bottom.
  4. Maximize the Message Source window.
  5. You can now see the contents of the message and the type of attachment, if any, without the risk of launching any offending attachments.
