Every week I get emails from readers who suggest alternate ways of accomplishing my tips. The great thing about Excel is that there is usually several ways of doing everything. You just need to find the one(s) that you like and use that. Sometimes someone will tell me a different, and sometimes better, way of doing something that I have been doing 'my way' for years.

EXCEL "QUICK TIP" Top
Turn Off The Paste Options Button (XL2003)

If you are using Excel 2003 and get annoyed by that Paste Options button that pops up on the screen every time you paste something, you can easily turn it off.

Click Tools, Options and click the Edit tab. Now clear the Show Paste Options buttons check box.

Poof! It's gone.

"HOW TO EXCEL" MINI-TUTORIAL Top
Sorting Sideways

Excel's default setting for sorting is by row. However, sometime you may want to sort by column instead. Here's how...

  1. Select the range of data you want to sort.
  2. From the menu select Data, Sort
  3. The first Sort by option uses the first row by default, however, you can sort by any row in the selection.
  4. Click the Options button
  5. From the Sort Options dialog, select Sort Left To Right and click OK
  6. Choose Ascending or Descending
  7. Click OK
It is always a good practice to save your work before you sort. You can Undo after the sort but if you mess things up, you can really cause yourself a lot of grief. Sometimes, making a backup copy of your workbook is a good idea because it may be days later before you realize you messed up.

Another important thing to remember about sorting is, if you have a range of cells selected, Excel will sort only the data in those selected cells. You can allow Excel to select the sort range by selecting only one cell anywhere in that range. Excel will expand the sort range to all cells in the current region (bounded by blank columns and rows or the edges of the worksheet). To be sure that you sort only the range you want, I suggest that you select the sort range yourself.

A is for All

CTRL+A is the shortcut, in many programs, for the Select All option. Anytime you need to select everything (i.e. text, graphics, files, email messages, etc...) in a program (i.e. Word, Excel, Windows Explorer, Internet Explorer, email folder, etc...), try pressing CTRL+A.
