OK, now that I've got your attention (away from the US election), maybe we can get back to learning more Excel tips and shortcuts.

Just kidding!

Is it just me or do you also find that many of your fellow Excel users are completely happy to coast along using Excel only to the extent that they can figure it out on their own? ... never asking for help. ...trial and error all the way.

I often see someone doing something in Excel and offer to show them a better, faster, easier way, and they say, "No thanks. This is the way I always do it." Over the years that I've been using Excel, many people have said to me, "I don't have time to learn these Excel shortcuts. I'm too busy." Duh!

This is one of the main reasons I set up my newsletter and website. I knew there were thousands, if not millions, of Excel users all around the world who, like me, want to learn everything they can about Excel. And I know you're one of them.

EXCEL "QUICK TIP" Top
Shrinking Text To Fit In A Cell

When text does not fit in a cell, the column width or row height is usually adjusted to accommodate the text. An alternative to changing the entire column width or row height is to shrink the text to fit the cell.

To choose this option, from the menu select Format, Cells, Alignment tab, 'Shrink to fit'

This option will automatically scale the text so that it fits within the cell. As you adjust the width of the cell or as you increase or decrease the amount of text in the cell, Excel automatically resizes the text to fit within the cell.

"HOW TO EXCEL" MINI-TUTORIAL Top
Print To Fit On x Pages

Often you will find that once you create or update a spreadsheet and print it, the last page may contain only a row or two of data. You can avoid printing that extra page by squeezing those last couple of rows onto the other pages.

Many Excel users resort to inserting or deleting rows, or altering the font size to make their spreadsheet print on a specific numbers of pages. There is a much simpler solution. You can tell Excel to make your data fit on a specific number of pages and it will squeeze your data, as it is, on to the number of pages you request. For example, if you preview your spreadsheet (File, Print Preview) and find that a small portion of it overflows onto page 3, you can tell Excel to print it to fit on only 2 pages (or any number of pages you like).

  1. From the File menu select Page Setup (or from the Print Preview screen, click the Setup button)
  2. Select the Page tab and select the 'Fit to' option.
  3. Enter the number of pages wide (usually one) and number of pages tall.
  4. Click the Print Preview button in the Page Setup dialog box to verify your settings.

BONUS "NON-EXCEL" TIP Top
No Need To Type All Those Filenames

If you are typing a document that requires a list of filenames, you don't need to type them. Instead of typing filenames in your document, you can copy the filenames from Windows Explorer.

This trick works best when you are dealing with long filenames and files that are in the same folder.

  1. Go to the folder in Windows Explorer containing the files.
  2. Select the first filename
  3. Press F2 (Rename). This will highlight the filename.
  4. Press CTRL+C (Copy)
  5. Press Alt+Tab to switch back to your document
  6. Press CTRL+V to paste the filename
  7. Press Alt+Tab to switch back to Windows Explorer
  8. Repeat from Step 2 above for each filename you want to copy.
