Every week I try to provide a variety of tips to help you work faster and smarter in Excel. I don't claim to know everything there is to know about Excel. At least once a week, I discover something new.
I realized a long time ago that Excel is so powerful that I will never know everything.

I often get emails from readers who suggest alternate ways of doing my tips. One of the great things about Excel is that there are usually several ways of doing almost everything. You just need to find the one(s) that you like and use that. Sometimes someone will tell me about a different, and sometimes better, way of doing something that I have been doing 'my own way' for years.

Today's Microsoft Excel Tip

Show Pivot Table Subtotals Below Your Data

Don't you hate it when every time you create a Pivot Table the subtotals are displayed above the data. I know I do.

When we add subtotals to our worksheets we typically put subtotals and totals below the data that make them up. So, why are subtotals in Pivot Tables placed above the data? Beats me!

If you want to show the subtotals below your data you can.

1) Click in the Pivot Table to bring up the 'Pivot Table Tools' tab on the Ribbon;

2) Below the Pivot Table Tools tab click the Design tab;

3) On the left end of the Ribbon, click the Subtotals option in the Layout group;

4) Click 'Show all Subtotals at Bottom of Group'.

Default Subtotals at Bottom Using Tabular Form

By default, Pivot Tables are displayed in Compact Form, where the row fields are contained in one column (column A in example above) and indented to show the nested column relationship. In this format, subtotals, by default, are shown above each group.

If you choose to display your Pivot Table in Tabular Layout, the subtotals WILL display at the bottom of each group (i.e. you don't need to choose the 'Show all Subtotals at Bottom of Group' option).

1) Click in the Pivot Table to bring up the 'Pivot Table Tools' tab on the Ribbon;

2) Below the Pivot Table Tools tab click the Design tab;

3) On the left end of the Ribbon, click the Report Layout option in the Layout group;

4) Click 'Show in Tabular Form'.

Note that these settings will apply only to the current Pivot Table.
